After you finally say yes, there is a lot to consider. After the guest list and budget comes the venue where you want to celebrate your event.
There are different aspects that we must take into consideration when choosing the place or venue, one of them and I consider the most important, is the budget designated for the event.
To get a clear idea of what you want, you must start by defining the type of event that you are going to carry out, whether it is formal or semi-formal. The place should always be in tune with what you want to project, whether it is classic - traditional or modern and fun. Think if you want it to be outdoors or indoors. You need to ask the following questions before selecting a place:
1. How many people can be accommodated? - This is a basic rule since it must fit the number of guests you have on your list, you should not fall in love with a place without considering this point. Also, by security measure, all places have a maximum capacity of people.
2. What other options does the place provide? - It is necessary to know if the place offers security, tables, chairs, even food and drink packages. Some of these options help you to stay on budget and are very convenient.
3. Does the place have a kitchen and bar? - Many food suppliers ask for a kitchen or a comfortable area for the preparation and assembly of the dishes. If the location provides a bar space you will save yourself from having to assemble one.
4. Does the venue provide space to perform the ceremony? – An increasing number of couples decide to do both events (the ceremony and the reception) in the same place. Ask if the place offers you flexibility for additional hours to carry out the ceremony, because I’m sure you will not want to use up the time of the reception which is typically between 4 and 6 hours.
5. What is the cost and for how long? - You must know how much time you will have available for the decoration and preparation of the space, as well as for the disassembly. It is also very important to know the cost of additional hours, if an option, the maximum number of hours, and what you must do to request this additional time in case that you are having a good time and don’t want to end the party.
In addition to these basic questions, you should not fail to ask if the place has liability insurance or if you have to acquire one. Also validate that their permits are up to date. In case of electrical or water failures, make sure the location provides you with an onsite power plant and a water tank. Also ask what the maximum amperage (voltage) is so that you can give the information to the DJ or bands playing, and have music all night. For your guests, ensure that there’s easy access to the place. Validate whether there’s a handicap ramp or elevator, how many parking spaces are provided and whether there are any areas that pose a danger to your guests.
Finally, check in the contract every rule and restriction of the place and discuss any in which you have doubts. To summarize, be diligent to ensure that your event is a success!
